CALL FOR NOMINATION FOR TRUSTEES and NOTICE OF ANNUAL GENERAL MEETING

Atiawa ki Whakarongotai Charitable Trust Board seeks nominations from adult registered members to fill two retiring vacancies for the position of Trustee.

The term of office is two years, and it is a non-paid position. Nomination forms are available on request from the Trust Office, 11 Elizabeth Street, P O Box 509, Waikanae 5250, (04) 902 5208 or by emailing admin@teatiawakikapiti.co.nz.

The nomination form must include the signature of the member being nominated, the nominee’s full name, address and contact telephone number, together with a declaration that the nominee is not a bankrupt, has not been convicted of a dishonesty offence, and a brief statement of work experience and objectives relevant to the position of Trustee. The nomination form must also include the signature and full name and address of the adult registered member making the nomination.

Completed nomination forms must be returned to the Trust Office at the address stated hereafter no later than 5 pm on Wednesday 3rd September 2014: Atiawa ki Whakarongotai Charitable Trust, 11 Elizabeth Street, P O Box 509, Waikanae 5250.  LATE NOMINATIONS WILL NOT BE CONSIDERED.

Details of nominated candidates and voting papers will be sent to all adult registered members at their last known address in New Zealand. Voting may be by postal ballot received before 5 pm on the day preceding the Annual General Meeting, or in person (but not by proxy) and before 10 am on the day of that meeting. In the event of a vote being taken the two candidates with the greatest number of votes shall be elected Trustees.

So that membership records may be updated, members are also asked to notify any changes of address of family members. This is essential if a postal vote is required. Early registration of those family members who are now of 18 years of age would also be appreciated. New applications for membership may be made at any time, up to and including the annual general meeting.

Notice of intention is also given of a motion, standing in the name of the Chairperson Hemi Sundgren, to amend the Trust Deed requirements of annual audited financial reports. Currently, the Trust Deed requires the annual financial report, be prepared in accordance with generally accepted accounting practices for audit. Due to recent changes in accounting standards it is proposed that the Trust Deed be amended to require an annual engagement review, prepared in accordance with generally accepted accounting practice. The wording of the proposed amendment to the trust deed will be distributed to members with copies of the Annual Accounts and Reports.

Notice is also hereby given that the Annual General Meeting of Atiawa ki Whakarongotai Charitable Trust will be held at Whakarongotai Marae, Waikanae at 10am on Saturday 11th October 2014.
