Notice is hereby given that the Hui-a-Tau / Annual General Meeting of Te Ātiawa ki Whakarongotai Charitable Trust Board will be held at Whakarongotai Marae, 4 Marae Lane, Waikanae at 10am on Sunday 2 December 2018. Agenda – Confirm previous AGM minutes, Ātiawa ki Whakarongotai Charitable Trust Annual Report 2017/18, Ātiawa ki Whakarongotai Holdings Ltd Annual Report 2017/18 & Wharekohu Fisheries Ltd Annual Report 2017/18. Appointment of Auditor/Accountant, Election of Trustees and General Business.

Notice is also hereby given that Te Ātiawa ki Whakarongotai Charitable Trust Board seeks nominations from adult registered members to fill two vacancies for the position of Trustee, and one vacancy for the position of Alternate Trustee (three positions in total) The current Trustees who will be completing service of their two-year term are Kiri Rikihana (Deputy Chair), Chris Gerretzen, and Hohepa Potini. Kiri Rikihana and Chris Gerretzen have signaled their interest to continue to support the iwi, and re-stand for the role of Trustee(s).

The nomination form must include the signature of the member being nominated, the nominee’s full name, address and contact telephone number, together with a declaration that the nominee is not a bankrupt, has not been convicted of a dishonesty offence, and a brief statement of work experience and objectives relevant to the position of Trustee. The nomination form must also include the signature and full name and address of the adult registered member making the nomination.

Completed nomination forms must be returned to the Trust Office at the address stated hereafter no later than 5.00 pm 26 October 2018: Te Ātiawa ki Whakarongotai Charitable Trust, 11 Elizabeth Street, P O Box 509, Waikanae 5250. LATE NOMINATIONS WILL NOT BE CONSIDERED. If, on the closing of nominations for the election of Trustees to the Board the number of persons nominated for election to the Board exceeds the number of appointments to be made, an election shall be held in accordance with the provisions of Schedule One of the Trust deed.

Details of nominated candidates and voting papers will be sent to all adult registered members at their last known address in New Zealand. Voting may be by postal or electronic ballot received before 5 pm on 30 November 2018 preceding the Hui-a-Tau / Annual General Meeting, or in person (but not by proxy) and before 10 am on the day of that meeting. In the event of a vote being taken the two candidates with the greatest number of votes shall be elected Trustee(s), and the candidate with the next highest votes shall be elected Alternate Trustee(s).

So that membership records may be updated, members are also asked to notify any changes of address of family members. This is essential if a postal vote is required. Early registration of those family members who are now of 18 years of age would also be appreciated. New applications for membership may be made at any time, up to and including the annual general meeting.
